Screenshot Sharing
How to share a screenshot by clipboard, file, cloud link, or chat, and how to check tabs, notifications, and URLs for private data before you send.
Screenshot sharing covers every way a captured image reaches another person: pasting it into chat, attaching it to email or a ticket, uploading it to a cloud folder and sending a link, or combining several images into a PDF. Each channel has its own limits on file size, accepted formats and how long the file stays available.
What gets shared is the file, not what is visible in an editor. The file can include more than intended: metadata such as creation time or device, unedited originals, and private details in the corners of the screen that the sender did not notice.
Sharing methods compared
| Method | Good for | Watch for |
|---|---|---|
| Clipboard paste | One quick image | Recompression in chat apps |
| File attachment | Originals, email | Size limits |
| Cloud link | Large sets | Link permissions and expiry |
| Many pages, review | Text not searchable without OCR |
Where sharing matters
- Support tickets, where the image must show the exact error.
- Team chats, where screenshots are often forwarded beyond the first audience.
- Public posts and documentation, where anything visible becomes public.
- Client deliverables, where file format and size are fixed.
Sharing and privacy
Before sending, check the whole image:
- Browser tabs and bookmarks bar.
- Notification banners and the menu bar.
- URLs with tokens, IDs or email addresses.
- Names, avatars and messages of other people.
Blur or box anything private, then check the exported file.
Common mistakes
- Sharing a full-screen capture when one window was needed.
- Sending the original instead of the redacted export.
- Using a public link for private material.
- Sending dozens of loose PNG files instead of one PDF.
