How to Redact Sensitive Information from Tutorial Screenshots

Remove sensitive information from tutorial screenshots by choosing safe test data, crop, blur, or complete removal for each risk.

Tutorial screenshots are made to be shared, which is exactly why they leak data. A name in a sidebar, an email in a header or a token in an address bar travels with every copy of the guide.

This post covers how to keep sensitive data out of tutorials in the first place, and how to remove what still appears, using the Temposhot Documents editor on a Mac.

Use safe data before capture

The safest redaction is data that was never real. Set up the screen before you record:

  • Sign in with a test account that holds placeholder names, such as "Sample Customer", and an example email domain.
  • Close email, chat, calendar and password manager windows.
  • Turn on a macOS Focus mode so notification banners do not appear.
  • Clear browser autocomplete suggestions for fields you will click, or use a separate browser profile.
  • In Action Capture, choose Specific Window or Capture Area so other apps stay out of the frame.

Use Pause capture in the floating toolbar before opening anything private during a run, and Resume capture after.

Inventory every visible risk

Go through each page and look for these, including in small text at the edges:

CategoryWhere it hides
Personal names and photosSidebars, comments, avatars, "last edited by"
Contact detailsHeaders, profile menus, form fields
Account and order numbersTables, URLs, page titles
Credentials and tokensAddress bar query strings, settings pages, terminal output
Internal informationProject names, other clients, internal URLs
Device detailsMenu bar items, Wi-Fi names, file paths with usernames

Zoom the canvas in to check small text. Zoom changes only the view, not the export size.

Choose sample data, crop, blur, or removal

Match the method to the risk:

RiskMethod
Data that appears on many pagesRecapture with sample data
Data outside the area the step needsCrop with Framing
A small field inside the needed areaBlur
Credentials, tokens, recovery codesRecapture with the value hidden, or remove the page

Blur is convenient, but a crop or a recapture leaves nothing to reverse. For anything that grants access, recapture.

Crop without losing task context

Cropping removes risk and focuses the reader at the same time. Press F for Framing in the Document editor.

On Action Capture pages, Focus on action frames the area around the click. Levels go from Wide to Tight; Close and Tight remove most of the surroundings. On other pages, choose Custom, drag the region and select Apply framing.

Keep enough context for the reader to find the control: the panel title, the toolbar, the dialog header. A crop so tight that the reader cannot tell which screen it is from trades one problem for another. The annotations and framing guide covers each control.

Apply blur to the exact sensitive area

Press B for Blur (Pro) and drag over the field. Select the blur with V to adjust its strength in the Object Inspector. Cover the full field width, not just the visible characters, so the length of the value is not obvious.

Copy a finished blur with Command+C and paste it on other pages with Command+V when the same field appears in the same place. Check the position on each page, because layouts shift.

For a single screenshot outside a Document, the browser tool Image Redaction Tool redacts it in the browser. The image stays on your device. See image redaction and privacy blur for the difference between the two approaches.

Export a safe copy

Export from the Document. Export PDF and More export formats (PNG, JPG and WebP pages, ZIP package) render pages with the current framing and annotations, including blur.

Two sources still hold the original pixels:

  • The Document itself. Annotations are non-destructive, so the source image inside the Document is unredacted. Share exports, not the Document files.
  • Capture History. A ZIP export of session frames contains the original, unedited files. Temposhot warns about this when frames have annotations or framing.

The Documents export guide lists every format.

Review the final shared version

Open the exported file, not the editor, and review it at the size readers will see. Check every page, including the cover and the last page. Read titles and descriptions too, since they sometimes repeat a name the screenshot hides.

Ask a second person to review guides that go outside your organization. A fresh reader notices names and numbers the author has stopped seeing.

Frequently Asked Questions

Is blur enough to hide sensitive information?

For names and emails at strong blur strength, usually yes. For passwords, tokens and short codes, recapture with the value hidden instead.

Does Temposhot upload screenshots for redaction?

No. Capture, editing and export run locally on your Mac. The browser redaction tool also processes images in the browser.

Which tools are Pro?

Blur, Click Marker and Step Numbers are Pro editor tools. Framing is available to everyone.

Turn your clicks into a clear step-by-step guide

Action Capture records a guide from a single window or area, with pause controls for private screens. Download Temposhot and record your next tutorial with a test account.
