How to Screenshot on Mac: Built-In vs Third-Party Apps

When third-party screenshot software beats Mac's built-in tool, and when Cmd+Shift shortcuts are enough. Compare CleanShot X, Snagit, and Temposhot.

Every Mac can take screenshots with three keyboard shortcuts and a small toolbar. For most single captures, that is all you need. This post shows what the built-in tool does well, where it stops, and which kind of third-party app fills each gap.

Quick answer: is the built-in Mac screenshot tool enough?

Yes, if you take a few screenshots at a time and mark them up lightly. Consider a third-party app when one of these is true:

  • You take dozens of similar screenshots per task.
  • You need scrolling or full-page captures of long content.
  • You document a process step by step and assemble the result into a guide.
  • You need consistent annotation styles, blur or step numbers across many images.

What the built-in Mac screenshot tool does well

macOS covers the basics with three shortcuts:

  • Shift+Command+3 captures the whole screen. With two displays, it saves one file per display.
  • Shift+Command+4 turns the pointer into a crosshair to drag an area. Press Space to switch to window capture.
  • Shift+Command+5 opens the Screenshot toolbar with buttons for screen, window and selection capture, plus screen recording.

The toolbar's Options menu sets the save location (Desktop, Documents, Clipboard and others), a timer of 5 or 10 seconds, whether to show the mouse pointer, and whether to show a floating thumbnail. Clicking the thumbnail opens Markup, where you can crop, draw, add text and shapes, and sign. Adding Control to any capture shortcut copies the image to the clipboard instead of saving a file.

The built-in tool is free, fast and needs no permission setup. It also records the screen to a video file from the same toolbar.

Limits of the built-in Mac screenshot tool

  • No repeat. Each capture needs a key press. The only automation is the 5 or 10 second screenshot timer.
  • No scrolling capture. Long pages and documents need several captures and manual stitching.
  • No library. Files land on the Desktop with date-based names, and nothing groups them by task.
  • Basic markup. Markup has no blur, numbered steps or reusable styles.
  • No assembly. Combining captures into a PDF, video or guide happens in other apps.

Compare dedicated Mac screenshot apps

Dedicated apps fall into two groups.

Manual capture and annotation apps such as CleanShot X and Snagit make each capture faster and better looking. They add scrolling capture, richer annotation, screen recording options and sharing. A person still starts every capture.

Automation apps such as Temposhot start captures by rule. Auto Capture takes screenshots on an interval with an optional key press and a stop condition. Action Capture saves one screenshot per click and builds a Document of steps. Website Capture captures lists of URLs. The trade-off is a smaller focus on one-off polished images and no continuous video recording.

Free alternatives

Several free options extend the built-in tool:

  • Preview. The File menu includes screenshot capture that opens the image directly for editing.
  • The screencapture command. Runs in Terminal and supports loops, regions and silent capture. See the command line guide.
  • Browser developer tools. Chrome's DevTools can capture a full-size screenshot of the current page, and Firefox includes a screenshot feature for full pages.
  • Temposhot browser tools. Stitch Screenshots joins several captures into one tall image, and Screenshot Annotation Tool adds arrows and text. Both run in the browser and keep files on your Mac.
  • The Temposhot Full Page Screenshot extension for Chrome 116 and later saves a whole page as one PNG. See the extension page.

Which Mac screenshot tool should you use?

  • A few screenshots a day: the built-in shortcuts.
  • Frequent, polished single images or quick share links: a manual capture app such as CleanShot X or Snagit.
  • Mac and Windows team with shared templates: Snagit.
  • Repeated series, click-by-click guides, or URL batches on a Mac: Temposhot.

The categories overlap. Many people keep the built-in shortcuts for quick captures and add one dedicated app for the job that repeats.

Frequently Asked Questions

How do I take a screenshot of one window without the shadow?

Press Shift+Command+4, then Space, and hold Option while you click the window.

Where do Mac screenshots go?

To the Desktop by default. Change the location in the Options menu of the Shift+Command+5 toolbar.

Can the built-in tool take screenshots every few seconds?

No. It offers a single delayed capture of 5 or 10 seconds. Repeated capture needs a script, Shortcuts, Automator or an automation app.

Does Temposhot replace the built-in shortcuts?

No. Temposhot handles repeated and rule-based capture. The built-in shortcuts stay useful for quick one-off screenshots.

Turn repeatable screenshots into finished work

When the same screenshots repeat, set them up once in Auto Capture. The automated capture guide covers each option, and screenshot automation on Mac shows all three capture modes.
