Action Capture recording clicks in another app as ordered steps

A visual guide turns a task into numbered screenshots with one instruction per step. On a Mac you can build one by hand with the built-in Screenshot app, record it locally with a desktop step recorder, or publish it through a hosted service. This comparison covers four workflows: macOS Screenshot, Temposhot, Folge and Scribe.

The reader in mind writes onboarding checklists, support answers, QA reproduction steps or internal SOPs, and wants to spend less time pasting images into documents.

What a step recorder should produce

A useful step recorder output has five parts. Each one saves editing time later.

  • One image per action. The screenshot shows the screen at the moment of the click, before the next view loads.
  • A readable title per step. Ideally generated from the clicked button or menu item, then edited by you.
  • A visible click location. A cursor overlay or a marker on the clicked area, so readers find the control quickly.
  • Editing room. Reordering, deleting, cropping, arrows, text and blur for private data.
  • A delivery format your readers accept. A PDF for tickets and audits, image files for wikis, or a hosted link for a team workspace.

Two further points depend on your situation: where the files are stored, and whether the tool runs on the computers your team uses. See visual documentation for the general format choices.

Use macOS Screenshot for a few frames or video

The Screenshot app opens with Shift+Command+5. It captures the full screen, a window or a selection, and it records screen video. Markup in Preview adds arrows, shapes and text.

For three or four steps, this is enough. For a 20-step procedure, the work adds up: one shortcut per click, then renaming, ordering and captioning by hand. Video avoids the per-frame work but is harder to skim and to update when one screen changes.

Use Temposhot for a focused local Mac workflow

Temposhot is a macOS app by LODYWORKS. Its Action Capture mode starts with Start Action Capture, then asks you to choose a target: Active Window, Full Screen, Specific Window or Capture Area. It saves the target just before each accepted click, so the image shows the control you are about to use.

With Parse clicked elements on, step titles follow the template Click "[[element-name]]", which turns a click on Export into Click "Export". A cursor overlay (Mac Pointer, Minimal Arrow, Touch Dot or Crosshair) and a circle or rectangle click marker can be drawn on each capture.

The steps open in the Documents editor. Text, shapes, arrows and framing are available to everyone; Blur, Click Marker and Step Numbers are Pro tools. Exports cover PDF, PNG, JPG and WebP pages, and a ZIP package.

Limits to weigh: Temposhot runs only on Apple Silicon Macs with macOS 14 or later. It has no cloud hosting, team workspace or embed, and it does not record screen video. It can build MP4 and GIF files from screenshot sequences.

Use Folge for local cross-platform documentation

Folge is a desktop step-guide app for Mac and Windows. Guides stay on the computer that recorded them, and the app exports to several document formats.

Choose Folge when the same writers switch between Mac and Windows, or when a documentation team standardizes on one tool for both systems. Check the vendor site for the current export list and license options.

Use Scribe for hosted sharing and collaboration

Scribe generates step guides from browser or desktop capture and hosts them for sharing. Guides live in a web workspace, where teammates can open, edit and reuse them through links.

Choose Scribe when readers are colleagues who already work in a browser and the guide changes often. Review where captures are stored before recording screens with customer or financial data.

Choose by capture, storage, and delivery

Answer three questions in order.

  1. Capture: Is the task in native Mac apps or only in a browser? Native apps rule out browser-only tools.
  2. Storage: Can the screenshots leave the computer? If not, use a local tool: Temposhot or Folge.
  3. Delivery: Do readers need a file or a link? Files point to Temposhot or Folge. Links and shared editing point to Scribe.

Then check platforms. A Mac-only writer fits Temposhot. Writers on both Mac and Windows fit Folge. For pricing, Temposhot is a free download with Pro at $39 lifetime for 1 Mac, $109 lifetime for 3 Macs, or $12 per month for 3 Macs (pricing). For the others, check the current pricing page.

Frequently Asked Questions

Does macOS include a step recorder?

No. macOS includes the Screenshot app for stills and screen video, but it does not log clicks into numbered steps.

Can a step recorder capture apps outside the browser?

Desktop recorders such as Temposhot and Folge capture native apps. Hosted tools vary, and some offer desktop capture in addition to a browser extension.

Where does Temposhot store guides?

On the Mac. Captures, sessions and Documents stay local, and no account is required.

Can I hide private data before sharing?

Yes. In Temposhot, frame out unrelated areas with Framing, or use the Pro Blur tool on details that must stay on the page.
